Terms

These are the terms of Trades Office. Signing up commits you to nothing; the terms below apply once the owner of the account accepts them in settings.

  1. What we do. Trades Office is a back-office service. A person on our side, helped by software, prepares your quotes and invoices from your prices and your job notes, keeps track of what is unpaid, and drafts payment reminders. You approve every quote and invoice before it is numbered; a person then sends it from your own mailbox or accounting system.
  2. What we do not do. We do not answer your phone, book your jobs, set your prices or decide what to charge. We do not give tax, accounting or legal advice: whether VAT, the reverse charge or a particular rate applies is your decision, and we print what you tell us. We do not take court action or threaten it.
  3. What you pay. £300.00 for the first month, then £750.00 a month. No contract term: either side can stop at the end of any month by e-mail. Payment is not taken on this site; we invoice you.
  4. Software that suggests. When you send a job description, software may suggest quote lines from your price list. It never sets a price — prices come only from your list — and every suggested line is checked by a person before the quote can go to you for approval.
  5. Your data — what we process for you. We process your customers' names, addresses and e-mail addresses, and your quotes and invoices, only to provide this service and only on your instructions. You remain the controller of your customers' data; we are your processor. We keep it confidential and do not use it for anything else or share it with anyone except the providers named in our privacy notice.
  6. Your data — when it ends. You can delete your account and everything in it from the settings page at any time; it is removed at once. If you ask, we will first give you a copy of your quotes and invoices. We tell you without delay if we learn of a breach affecting your data.

Invoices and VAT

Invoices are laid out to carry what GOV.UK and HMRC's VAT Notice 700 list for an invoice and a VAT invoice. Whether you are VAT registered, which VAT rate applies to an item, and whether the domestic reverse charge for construction services applies to a customer are your decisions; we print what you tell us. Late-payment interest is only ever claimed from business customers, as the Late Payment of Commercial Debts (Interest) Act 1998 allows.
